Privacy Policy
Last updated: 27 September 2026
The Big Fun Choir is run by Mia Slayford (ABN 88 119 561 398) ("we", "us"). This policy explains what personal information we collect through our website (thebigfunchoir.com.au) and members' app (app.thebigfunchoir.com.au), why we collect it, who we share it with, and your choices. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
1. Information we collect
Information you give us when you register your interest, set up your account, or update your details:
- Your name, email address, phone number, date of birth, pronouns and postal address.
- An emergency contact's name, phone number and relationship to you.
- How you heard about us, who referred you, your singing experience and background, and why you're joining.
- Your chosen trial date, and your answers to our follow-up emails (for example, whether you'd like to join).
- An optional profile photo, display name and public-profile username, and your privacy choices (such as hiding your last name, or not using your photo for marketing).
- Anything you send us through the app: feedback and reviews, song requests and votes, solo requests, and Sunflower Fund applications. A Sunflower Fund application may include information about your financial circumstances, which we use only to assess it.
- Messages, reactions and media you post in class group chats.
Information created as you take part:
- Your membership, subscription or class pack, the classes you're enrolled in, and your class attendance (including trial classes).
- Payment records: what you've paid and when, cash payments we record for you, and any billing pause. Card details are handled by Stripe, not us (see Payments).
- Notes our organisers keep to help look after you (for example, a note about a missed class or a change of plans).
Information collected automatically:
- App activity. To understand how the app is used and to support members, we record certain actions inside the app, such as signing in, which rehearsal tracks you play, pages and features you visit, invites you send, and profile or password changes. This is linked to your account.
- Email opens. Our emails contain a small tracking image so we can see whether an email was opened and when. You can prevent this by turning off automatic image loading in your email app.
- Referral and advertising links. If you arrive through a referral link or one of our ads, we record the link or ad campaign that brought you, so we know which promotions work.
- Push notifications. If you turn on notifications, your browser gives us a notification address for your device. You can turn them off at any time in the app or your device settings.
- Technical information. Like most websites, our servers and service providers automatically receive technical details such as your IP address, browser and device type. Our website also uses cookies (see Cookies and tracking).
Information from other sources:
- If you book a trial through Eventbrite or Humanitix, those platforms share your booking details with us (such as your name, email, phone and the session you booked) and we create your registration from them.
- If you sign in with Google, Google shares your name and email address with us.
- If a friend invites you, we may know who referred you.
2. How we use your information
- To manage your registration, trial, membership, subscription or class pack, and your class enrolments and attendance.
- To take payments and keep financial records.
- To communicate with you by email, phone, push notification and in the app: trial details, class updates, reminders, payment notices and choir news.
- To run community features such as group chat, member profiles, song requests and solos.
- To keep members safe, including contacting your emergency contact if needed.
- To assess Sunflower Fund applications and allocate sponsored places.
- To understand and improve our choir, app and promotions, including measuring how well our advertising works.
- To meet our legal obligations.
We will never sell or rent your personal information, or share it with anyone for their own marketing.
3. Who can see your information
- Our organisers and admins can see your details and account activity so they can run the choir and support you.
- Other members can see your name (or display name), profile photo and anything you post in group chats or on your profile. Members who aren't enrolled in a class see first names only. You can hide your last name or set a display name in My Account.
- The public does not see your profile.
4. Service providers we share information with
We use trusted providers to run our services. They only receive what they need to do their job:
- Stripe - processes card payments and subscriptions and stores your card details.
- SMTP2Go - delivers our emails.
- Eventbrite and Humanitix - trial bookings (if you booked through them).
- Google - Google Analytics (website statistics), Google sign-in, and Google Drive (hosting rehearsal files; your personal details aren't stored there).
- Meta (Facebook and Instagram) - the Meta Pixel measures and improves our advertising.
- Our web host - stores the app and its data on our servers.
- Browser push services (such as Apple, Google or Mozilla) - deliver notifications if you turn them on.
We may also disclose information where the law requires or allows it, for example to protect someone's safety.
5. Overseas disclosure
Some of the providers above store or process information outside Australia, including in the United States, the European Union and other countries where they or their subprocessors operate (for example Stripe, Google, Meta, Telegram, Eventbrite and SMTP2Go). We choose reputable providers with their own privacy protections, but by using our services you acknowledge that your information may be handled overseas.
6. Cookies and tracking
- The app uses essential cookies to keep you signed in and secure.
- Our website and app may use Google Analytics, which uses cookies to collect information about how visitors use our site (such as pages visited and device type). Google may process this on its own servers. You can opt out using Google's browser add-on at tools.google.com/dlpage/gaoptout.
- We use the Meta Pixel, which uses cookies and similar technology to tell Meta when someone who saw our ads visits our site or registers. This helps us measure our ads and show them to people likely to be interested. You can manage this in your Facebook or Instagram ad settings.
- You can block or delete cookies in your browser settings. Essential cookies are needed for signing in.
7. Emails and unsubscribing
We send two kinds of email. Service emails are about your trial, membership, payments or account, and are needed to provide the service. Choir update emails are general news and announcements, and every one includes an unsubscribe link. You can also change your email choices in My Account at any time.
8. Payments
All card payments are processed by Stripe. We do not see or store your full card number. Stripe handles your payment details under its own privacy policy (stripe.com/au/privacy). We keep records of your payments, such as amounts, dates and invoices.
9. Group chat and community features
Anything you post in a class group chat is visible to other members of that class and to our organisers. Please don't share anything in chat you wouldn't want other members to see. Organisers may remove content that breaches our Terms & Conditions.
10. Keeping your information
We keep your information while you're a member and for as long as we reasonably need it afterwards, for example so you can rejoin easily. Payment and financial records are kept for at least five years, as required by Australian tax law. When we no longer need information, we delete or de-identify it. You can ask us to delete your account at any time (see below).
11. Data security
We take reasonable steps to protect your information from misuse, loss and unauthorised access, including encrypted (HTTPS) connections, password-protected accounts, and limiting organiser access to what's needed. No system is completely secure. If a data breach is likely to cause you serious harm, we will notify you as required by law.
12. Your choices and rights
- Access and correction. You can see and update most of your details in My Account, and you can ask us for a copy of the personal information we hold about you.
- Deletion. You can ask us to delete your account and personal information, except where we must keep records by law.
- Marketing and notifications. You can unsubscribe from choir update emails, turn off push notifications, and opt out of your photo being used in marketing.
- Anonymity. You can ask us general questions without identifying yourself, but we need your details to register you and run your membership.
13. Questions and complaints
For privacy questions, access or deletion requests, or complaints, email us at hello@thebigfunchoir.com.au. We'll respond within 30 days. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.
14. Changes to this policy
We may update this policy as our services change. The latest version is always available in the app, and we'll let you know about any significant changes.
